Quick start guide for School Organisers

Are you a school event organiser getting started with Humanitix? First of all, welcome aboard! You've joined an amazing community of educators and event creators who are passionate about educational equity for all.

Here's a quick start guide so that you're all set to create events with impact.

1. Sign up for free πŸ™Œ

If you haven't done so already, sign up here to get started. It takes less than 20 seconds, we promise πŸ₯°

2. Set up your fee structure πŸ’Έ

You can flexibly choose which portion of the booking fee gets passed on to the ticket purchaser, or absorbed into the ticket price. For example, if you'd like to pass on the fixed portion of the booking fee (e.g. 50 cents) and absorb the percentage portion (e.g. 2.5%), you can do so easily by using our Split Fees feature.

You could also choose to pass on or absorb all your booking fees, or even give the choice to the attendee to decide! The options are endless 😎

3. Bank accounts, payouts & all that jazz 🎢

As long as you've put in your bank account details correctly, we pay you out automatically within 2-5 business days after your event concluding. You can also have multiple bank accounts under one Humanitix account - just make sure the correct one has been selected per event. GL code for payouts

Under each event, you can include the GL code so that your finance team knows where to allocate the payout. Go to your event and navigate to 'Payments and Fees' >> 'Settings' and scroll to the bottom to include your GL code in the 'Note on Payout' field.

Locking your bank accounts

As an additional security measure, you can also lock your bank account both at an account-level and at an event-level. To do so on an account level, go to 'Account' >> 'My account' >> Bank accounts'. To lock your bank account to a specific event, go to your event and navigate to 'Payments and Fees' >> 'Settings' to turn on the 'Lock.Bank Account' toggle. This ensures that no one else can change this account, if you're sharing access to your event with other team members.

4. Sharing permissions with your team πŸ‘―

If you have multiple team members needing access to your events, it's easy to share and receive permissions on Humanitix, either on an event-specific basis or on an account level. Check out this guide for a breakdown of different levels of permissions and how to set this up.

5. Set up automatic alerts for your team πŸ“£

You can set up additional recipients for alert emails e.g.the finance team could receive notifications for every payout, and the event coordinator could be alerted every time there is an attendee enquiry. This can be set up both on an account level and event level.

Account-level notifications

On the top horizontal banner, go to 'Account' >> 'My Account', and under the 'My account' dropdown menu, click on 'Notifications'. Here is where you can add additional team members for alert emails and choose which types of alerts they'll be receiving.

Event-level notifications

If you have specific notification requirements per event, you can click into your event and navigate to 'Advanced' >> 'Notifications' on the lefhand side menu. As above, you'll be able to add recipients and select the types of alerts.

6. Customise your checkout form πŸ“

If you want to ask specific questions at checkout e.g. the name of each student per ticket purchased, you can set this up easily by using 'Additional Questions'. Read more here.

7. Embedded widget on your website πŸ›’

Does your school advertise events on its website? If so, you can embed a number of different widgets to integrate Humanitix ticketing directly onto your website. Check out this guide on the available options and how to set this up!

9. Email campaigns πŸ’Œ

You can send out reminder emails to your attendees directly from Humanitix, or use our Mailchimp integration for all your comms. The choice is yours!
